Quickstart: Migrating Enterprise Data and Onboarding End Users to CAEVES

Migrating Enterprise Data & Onboarding Users to CAEVES

Once your CAEVES instance is deployed, it’s time to bring your data to life. This article walks you through migrating enterprise/archive data and onboarding your team to access the CAEVES platform.

Step 1: Accessing the CAEVES Virtual File Share

The CAEVES instance exposes a virtual file share over the SMB protocol, making it easy for Windows users to interact with data like they would with a traditional file server.

  • Accessible from:

    • Directly on the CAEVES instance

    • Remote workstations via UNC path

      Example: \\your-caeves-instance\sharename

  • You can also:

    • Map the file share as a drive letter

    • Integrate it with DFS Namespaces (not covered in this guide—see KB for more info)

📌 NFS support is coming soon for Linux and cross-platform environments.

Step 2: Migrate Your Archive or Active Data

You can migrate unstructured data such as:

  • Office documents

  • PDFs

  • Generic file formats

    …from:

  • On-prem data centers

  • Cloud NAS

  • Legacy archive platforms

Option 1: Simple Copy via Windows Explorer

  • Use Windows Explorer to drag/drop or copy/paste files to the CAEVES file share

  • ⚠️ Note: This is single-threaded, and not optimal for large-scale migrations

Option 2: Use Robocopy or Multithreaded Tools

  • Recommended for bulk migrations

  • Example Robocopy command:

robocopy D:\source \\your-caeves-instance\sharename /E /Z /MT:16
  • For best practices and performance tuning, consult the CAEVES Migration Guide in the Knowledge Base

Step 3: Validate in Azure Storage Explorer

After migration:

  • Open Azure Storage Explorer

  • Navigate to your CAEVES cloud object storage container

  • Confirm:

    • All migrated files appear in the Cool Access Tier

    • Metadata and snapshot mapping is intact

    • Files are linked to their original path, volume, and version history

Step 4: Onboard Administrators and End Users

Once your files are in place

  • Grant access to file shares via Active Directory or Microsoft Entra ID

  • Provide mapped drives or UNC paths to users

  • Optionally, integrate with your AI, ML, or data analytics pipelines

💡 Many organizations use CAEVES to bridge unstructured data with AI workflows via the CAEVES Copilot Connector, enabling search, RAG, and Microsoft 365 integration.

Unlocking Intelligent Storage

The true power of CAEVES lies in its:

  • Real-time tiering to object storage

  • Snapshot and versioning support

  • AI-readiness via metadata enrichment and Copilot integration

All files are:

  • Indexed

  • Snapshotted

  • Tagged with metadata

  • Stored cost-effectively in Azure Blob Cool Tier
